Scope

JOB TITLE: Administrative Assistant

GENERAL SUMMARY OF DUTIES - The Administrative Assistant will report directly to the Business Operations Manager. The role of the Administrative Assistant is to support the Manager in all aspects of operations by functioning as an administrative extension of the Manager and acting as a liaison to personnel when appropriate. The Administrative Assistant also functions as one of the Administrative Assistants to the management team as needed.

Duties

DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Filing and organizing
  • Composition of emails and various written communication
  • Checking and returning voicemails and emails
  • Planning and execution of various meetings and events
  • Distribute mail and packages to departments
  • Handle confidential information with the highest degree of professionalism
  • Schedule meetings and prepare agendas
  • Provide administrative support including: typing; composing and proofreading correspondence; indexing and filing documents
  • Maintain executive calendars
  • Work with HR to maintain and appropriately distribute personnel correspondence as needed
  • Assists in managing the administrative components (e.g. create reports and research background material) of assigned projects
  • Assist with various assigned projects
  • Ensure adequacy of office supplies and equipment as well as specific projects and events
  • All other duties as assigned

Qualifications

KNOWLEDGE, SKILLS & ABILITIES– This position requires the following minimal requirements:

  • Minimum of 2 years of experience in direct administrative support
  • Must be proficient in multi-tasking
  • Have the ability to write well-constructed emails and correspondence
  • Must be timely and have excellent attention to detail
  • Computer skills - Strong knowledge of Microsoft Word, Excel, and Outlook required
  • Experience with Microsoft PowerPoint and Access a plus
  • Demonstrate professional maturity and conduct with other team members
  • Maintain direct line of communication with Manager at all times
  • Maintain self-motivation, work as a team player, perform well under pressure
  • Willing to work flexible hours to accommodate management as well as business needs
  • Communicate appropriately with team members
  • Skill in organization and record maintenance
  • Skill in developing and maintaining effective working relationships with supervisors and co-workers
  • Ability to complete paperwork with precision and attention to detail
  • Ability to react calmly and effectively in emergency situations
  • Ability to interpret, adapt and apply guidelines and procedures
  • Ability to work independently as well as functioning as part of a team
  • Ability to communicate clearly both written and verbally

EDUCATION

Bachelor degree required; major in Business, Communication, Journalism, or English preferred

EXPERIENCE

Three years of administrative support experience including one year in a health care organization highly preferred

CERTIFICATE/LICENSE – CPR training provided

PHYSICAL DEMANDS/WORKING CONDITIONS – Standard operating hours are Monday through Friday, 8:00a.m. to 4:30p.m. May be required to complete job-related tasks outside of that time frame, in excess of a standard 40-hour work week. Requires prolonged walking, standing, some bending, stooping and stretching. Requires hand-eye coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires occasional lifting of boxes up to 50 pounds. Work is performed in a medical office environment and includes exposure to blood-born pathogens and bio-hazardous materials. This role requires the ability to work with a broad range of personalities, situations and psychiatric disorders; therefore, candidates must possess the ability to resolve conflicts immediately and diffuse potentially escalating events before they occur.
